It's one of the most commonly asked questions we receive at Kunexa Events and Experiences, and it's a brilliant question. The title sounds simple. But the reality of what a great on the day coordinator does is anything but.
Let's walk through it honestly.
IT STARTS WEEKS BEFORE YOUR WEDDING
Despite the name, a good on the day coordinator doesn't just turn up on the morning and wing it. That would be a disaster. Instead, your coordinator begins working with you four to eight weeks before the wedding. During this period they'll have an in-depth handover meeting with you, review every supplier contract, spot any gaps or potential clashes in your plans, introduce themselves to your entire supplier team, and build a detailed timeline for the entire day including travel routes, arrival times, setup windows, and the precise running order for ceremonies and receptions.
ON THE DAY ITSELF
On the wedding day, your coordinator is typically the first person on site and one of the last to leave often a 12 to 15 hour day. Here's what they're managing throughout:
They oversee the venue setup to ensure every décor detail is exactly as you envisioned. They sign for deliveries and check hire items arrive in full and undamaged. They brief all suppliers as they arrive and direct them to the right areas. They manage the bridal party, ensuring everyone is in the right place at the right time. They liaise with your officiant and coordinate the ceremony proceedings. They communicate with your caterer to keep food service on schedule. They manage room turnarounds from ceremony to wedding breakfast, or from dining to evening reception. They assist guests with directions, questions, and anything they need. They handle any problems quietly, before you or your guests even notice them. They keep the entire day running to your timeline, making adjustments as needed.
WHAT THEY ARE NOT
An on the day coordinator is not a substitute for other suppliers. They are not there to style your florals, manage your bar, or do the work of your caterer. Their role is to orchestrate your day conducting all the moving parts like a seasoned professional so that you can be fully present, relaxed, and in the moment.
